Occupational Health Unit Administrator/Receptionist.
Permanent. Part time – 22.2 hours (Weds – Fri).
Based at Fire Service Headquarters, Birkenshaw.
Salary £15,949 to £16,466 (£26,824 to £27,694 FTE)

Job Purpose: To provide comprehensive reception and administration support to the Occupational Health Unit.
Key Responsibilities: This role provides essential administrative support to the Occupational Health Unit, ensuring the smooth running of daily operations. You will be responsible for maintaining accurate medical documentation, supporting data management and configuration of the OHU IT system, and coordinating clinical activity by arranging appointments, processing referrals, and producing reports. The role also includes undertaking financial tasks such as ordering goods and processing payments, delivering reception and general administrative support, and helping to improve efficiency by reviewing and streamlining administrative processes. This is a varied and proactive role that underpins the effective delivery of our occupational health services.
Essential requirements:
- We’re looking for someone with strong administrative experience, able to handle enquiries, liaise with external organisations, manage data and documentation, configure databases, coordinate and arrange appointments and produce routine reports.
- You should also be confident supporting basic financial processes such as raising purchase orders, handling invoices, and ordering stock.
- Good IT skills are essential, particularly in Microsoft Word, Outlook and Excel, along with sound literacy and numeracy gained through qualifications or work experience.
- You’ll need excellent communication and organisational skills, with the ability to prioritise work, meet deadlines and maintain confidentiality. Accuracy and attention to detail are vital to ensure high‑quality record‑keeping and you should be comfortable working both independently and as part of a team.
